Non-profit Fundraiser Kit: Sell-at-Cost-Plus-Donation, Board-Approved, Deadline-Proof

A pre-sized bundle for 501(c)(3) organizations running a 5K, gala, awareness week, or memorial fundraiser. Blanks tuned to the price point, DTF or screen decoration chosen by run size, one round of design help, and a fundraiser math sheet the board will actually approve.

The Golden Take

Short version, straight from the floor.

The Non-profit Fundraiser Kit is a purpose-built bundle for 501(c)(3) organizations running an event where the shirt is the merchandise. That means a 5K where every runner gets a race tee, a gala where sponsors get logo placements on a keepsake, an awareness week where volunteers wear color-coded shirts, or a memorial fundraiser where the shirt exists specifically to sell at cost plus a suggested donation. Every one of those events runs on the same math (unit cost plus a donation, no retail markup, board-approved pricing) and the same operational constraint (a hard event date that does not move).

  • The value tier feels like a value tier. Gildan 5000 is durable and cheap. It is not soft, not tri-blend, not brand-quality. If your donors are the kind who expect a Comfort Colors when they write a $500 check, upgrade to Bella+Canvas 3001 or Comfort Colors 1717 and expect to net less per shirt.

  • One round of design help means one round. The kit includes a single round of layout help on your existing logo or design. If your event has no design yet and you need us to conceive one, that is a $150 to $400 design service line item outside the kit.

  • We do not run the storefront. The kit assumes you are collecting registrations or donations through your own tools (RunSignUp, Classy, Givebutter, your own site). We do not host your pre-order storefront or handle donor payment.

  • 501(c)(3) discount requires documentation. We honor a verified 501(c)(3) discount code once your IRS determination letter is on file with your account. If you are pre-501(c)(3) (fiscal sponsorship, in-progress incorporation), we cannot apply the discount until documentation clears.

1. What This Is

The 5K, gala, and awareness-week bundle in one pre-configured program.

The kit ships two garment tiers so the board can pick the right one. Gildan 5000 hits the volume price point (under $6 per tee delivered) which is where 5Ks and awareness campaigns want to live because the goal is dollars-donated-per-shirt, not premium feel. Bella+Canvas 3001 is the gift-quality tier for galas and legacy fundraisers where the shirt is going to a donor who wrote a $500 check and expects a shirt that reflects the donation. The kit prices both so the board sees the math side by side before committing.

Decoration method is chosen by run size, not by fashion. Under 144 units total, DTF wins because the per-color setup fee on screen printing eats your net donation. Over 144 units of the same design, screen printing pulls ahead because the per-unit ink cost drops below DTF's per-square-inch price. The kit ships with a break-even math sheet so the board can see exactly which method wins at your run size, and we route the order accordingly.

2. Who This Is For

If your fundraiser has a deadline and a dollar goal, this is your kit.

  • 5K and walkathon organizers

Race tees for participants, volunteers, and sponsors. Volume-first, moisture-wicking tier for actual runners.

  • Gala and event coordinators

Gift-quality shirts for donors, staff, and volunteers at a black-tie fundraiser. Premium tier, single-round design help.

  • Awareness week and campaign organizers

Color-coded shirts for a national awareness week (breast cancer, autism, veterans). Volunteer distribution and public sale.

  • Memorial fundraiser organizers

Community shirts sold in memory of a person, with proceeds directed to a specific fund or scholarship. Sensitive timing, real deadline.

  • Church, faith community, and small foundation organizers

Congregation-wide fundraisers, mission trip shirts, community event drops. Volume-driven with a modest premium tier for donor gifts.

3. When to Order

Fundraiser timing is the whole game.

  • Four to six weeks before the event

The right window. Pre-sale is open, design is approved by the board, sizing distribution is projected. Order once, no rush ship, plenty of buffer.

  • Two to three weeks before the event

Realistic case. Registration is still coming in, sponsor logos are dribbling in. Order the confirmed count, plan a small second run for late registrants and walk-ups.

  • One week out

Same-day production, next-day-air shipping. Add a rush line and stop worrying. We ship Monday, in your hands Wednesday, distributed Thursday for a Saturday event.

  • Post-event walk-up sales

Reorder for post-event online sales. No setup fee because your art is on file. Second-round production ships at the same per-unit cost as the first run.

  • Annual repeat cycle

For events that recur every year (annual gala, annual 5K), we lock in pricing year over year so the board's budget line stays consistent.

4. Honest Tradeoffs

What this kit is not.

The Non-profit Fundraiser Kit optimizes for dollars raised net of costs. That means the shirt is a fundraising vehicle, not a fashion product. Here is what you are giving up.

6. What Beginners Should Order

First-time fundraiser coordinator, no budget cushion, hard event date.

Order one hundred to one hundred fifty Gildan 5000 tees with a single-color DTF logo and a sponsor strip on the back.

For a first-time fundraiser coordinator running a 5K or awareness event, the safest configuration is one hundred to one hundred fifty Gildan 5000 tees in a color that matches the cause (pink, blue, orange, yellow), a single-color event logo on the front in DTF, and an optional sponsor strip on the back. Priced at $20 suggested donation, this configuration nets a small non-profit around $1,400 to $2,100 on the first pass and captures the walk-up and post-event online sale at no additional setup cost. Bella upgrade adds $5 to $7 per unit if the donor tier justifies it. If your run is over 144 units of one design, we route you to screen printing which improves the per-unit math further.

11. Related FAQs

What non-profit organizers ask before they order.

How do I get the 501(c)(3) discount?
Upload your IRS determination letter to your account. Once verified, we apply the non-profit code to all future orders and drop sales tax where applicable.
Is DTF better than screen printing for a 5K?
It depends on the count. Under 144 units of one design, DTF wins because there are no per-color setup fees. Over 144 units, screen printing wins on per-unit ink cost. Send us your projected registration count and we route the order to the right method.
What if my registration count is uncertain?
Order the confirmed pre-registered count first. Reorders come at the same per-unit price with no setup fee, so a second small run for walk-ups and late registrants is efficient. We can ship a second run in three to five business days.
Can I get design help if my organization has no designer?
One round of layout help on an existing logo is included in the kit. Full design conception (logo, event mark, layout from scratch) is a separate line item priced $150 to $400 depending on complexity.
Can I add sponsor logos to the shirts?
Yes. Sponsor logos typically live as a strip on the back of the shirt or as small placements on the sleeves. We pack all sponsors onto a single DTF gang sheet so per-sponsor cost drops well below what any per-color screen setup would charge.
Do you offer moisture-wicking race tees?
Yes. Sport-Tek ST350 is our moisture-wicking default for 5K and race events. Higher per-unit cost than Gildan 5000, but the fabric is race-appropriate and runners notice.
