Why Tax Exemption Matters for Small Nonprofits

Booster clubs, PTAs, and youth sports nonprofits often run on tight budgets where every dollar counts. Sales tax on a $200 transfer order is real money that could go toward uniforms instead.

Most states allow 501(c)3 organizations to purchase goods for organizational use without paying sales tax, but you have to ask for it and back it up with the right paperwork.

What Documentation You Need

The exact requirements vary by state, but in most cases you need two things: your federal determination letter from the IRS (the one confirming your 501(c)3 status) and your state-issued sales tax exemption certificate.

Some states issue their own exemption forms. New York uses Form ST-119.1, for example. Others accept a generic exemption certificate. Check your state's Department of Revenue website to confirm which form applies.

Common Mistakes That Delay Approval

The most frequent issue: the organization name on the exemption certificate does not match the name on the account. Make sure both are identical, including any legal suffixes.

Expired certificates are another common problem. Most state exemptions require renewal every few years. Check the expiration date before submitting.

What Happens After Approval

Once approved, your account is permanently flagged. You will see $0.00 tax at checkout on every order going forward. No need to resubmit paperwork unless your certificate expires or your organization's legal name changes.
