How to Order DTF Team Kits Without Losing Your Mind
Team orders have a hundred moving parts: sizes, names, numbers, deadlines. Here is a process that keeps it manageable, from collecting rosters to confirming art before the transfers ship.

Start With a Hard Deadline and Work Backward
Every team order disaster starts with not leaving enough time. A season opener or event has a fixed date. Work backward from it: allow 2 business days for art approval, 1 day for order processing, plus shipping time to your location.
With Golden DTF shipping same day when ordered by 1 pm ET, the transfer leg of the job is fast. The slow part is almost always collecting roster information from coaches, parents, or players.
Collect the Roster Before You Touch Art
Do not start designing until you have a complete, locked roster. Changes after art is created cost time and sometimes money. Use a simple Google Form or the structured format covered in the team roster upload article.
Collect: player name exactly as it should print, jersey number, garment size, and quantity. Confirm spelling directly with whoever is responsible for the team, not just the first person who fills out the form.
How to Structure the Art Files
Names and numbers are typically separate transfers applied in two presses. Keep them as separate files organized by player. Name files: one 300 DPI PNG per player. Number files: one PNG per unique number.
Build all of these onto a gang sheet to reduce cost significantly. A sheet with 12 names and 12 numbers at 3 inches each costs a fraction of ordering them as individual transfers.
The Approval Step Most People Skip
Before you press a single transfer, send a digital proof to the team contact listing every name spelled out and every number. Get written confirmation (email is fine).
A misspelled name on a jersey is the kind of mistake that costs you the account and damages your reputation. The proof takes 10 minutes and prevents that outcome.
- List every name and number explicitly in the proof email
- Request written confirmation, not a verbal yes
- Note the cutoff date clearly so changes cannot come in after production starts
What to Do When Sizes Change Last Minute
They will change. Plan for it. Keep 2 to 3 extra blanks in common sizes (S, M, L, XL) in stock or confirm your blank supplier can ship overnight. Transfers are easy to reorder quickly. Blank inventory is usually the bottleneck.
Same-day shipping on transfers means a last-minute size swap is fixable as long as you have the garment on hand.
Running the Same Program Next Season
Save everything: the roster file, the art files, the gang sheet layout, and the order confirmation. Next season starts from that folder, not from scratch. Most returning teams only change a handful of names and numbers, so the saved work pays off immediately.
